Platform for Tracking Equipment, Warehouses, Repairs and Field Crews
How paper logbooks and spreadsheets were replaced with a single system of 8+ role-based apps — from warehouse staff and drivers to technicians and analysts.
The challenge
The company operates across many remote sites. Equipment constantly moves between the warehouse and the sites, goes out for repair and comes back. Everything was tracked in paper logbooks and spreadsheets: nobody knew exactly where a given piece of equipment was, what was broken or which consumables were running low.
They needed a system where every employee — from warehouse keepers to drivers and technicians — sees only their part of the work, while management gets the full picture.
The solution
I designed and built a platform with a single backend and separate interfaces for each role.
Inventory and transfers
- Equipment records with flexible attributes for each type, plus serial number control
- Warehouse ↔ site transfers with a movement log and automatic status changes
- Full change history showing "before → after"
Repair cycle
Site → pickup task for a driver → technician → warehouse. Every stage is recorded, so nothing gets lost "along the way".
Consumables warehouse
Stock levels, restock requests and a "what to buy" report — purchasing sees what's needed without manual counting.
Field work
- Kanban task board with checklists, comments and photos from the phone camera
- Daily shift check-ins at sites
- Questionnaire-based field reports with customizable file naming templates
- Video upload and trimming right in the browser — files up to ~1.5 GB
- Site map
For management
Dashboards, CSV / XLSX import and export, and a section for tracking contractors and staff.
Architecture
- Backend: FastAPI, async SQLAlchemy, PostgreSQL, Alembic — ~370 API endpoints across 38 modules
- Frontend: 8+ role-based React apps: office, site, driver/logistics, operator, technician, warehouse keeper, manager, analyst
- Infrastructure: internal servers behind a WireGuard VPN, field apps on an external VPS through a secure tunnel, backup and restore scripts
- Documentation: presentations and guides for each role
The result
Paper and spreadsheets are gone. Management can see at any moment where every piece of equipment is, what's in repair and how many consumables are left. Employees work in simple interfaces built for their specific job — from their phone, right on site.
