Why Leads Get Lost and How to Bring All Channels into Bitrix24

Why leads get lost across web forms, calls, messengers and marketplaces, and how to bring every channel into Bitrix24 with response SLAs and deal control.

Leads get lost in almost every company that sells through more than one channel. A website form goes to an inbox, a call rings a sales rep's personal mobile, a customer messages you on Viber, and a marketplace order sits in a separate seller dashboard. Each channel works on its own, but nobody sees the full picture. In this article I'll explain why leads get lost and how to bring all channels into Bitrix24 so that no inquiry goes unanswered.

How much money leaks out: an example

Take a company that receives 400 inquiries a month across all channels. This is an illustrative calculation.

  • 10% of inquiries get lost: a missed call nobody returned, a messenger chat read two days later, a form that landed in spam. That's 40 leads.
  • At a 15% conversion rate, that's 6 sales that never happened.
  • With an average order of $400, that's $2,400 in monthly revenue the company never even sees.

Now add the leads that did get a reply, just too late. A customer who sent a request to three suppliers buys from whoever answers first.

Why leads get lost

The causes are almost always the same:

  1. Channels are scattered. Email, personal phones, messengers on employees' smartphones, marketplace dashboards. Management can't see how many inquiries actually came in.
  2. No owner. A "shared" lead belongs to nobody. Everyone assumes someone else has replied.
  3. No response-time standard. Nobody knows how fast a call should be returned, so it gets returned "when there's time".
  4. Duplicates. A customer calls, then writes on Telegram — and the CRM ends up with two contacts owned by two reps. Or the opposite: a returning customer isn't recognised and gets created from scratch.
  5. Deals with no next step. The lead made it into the CRM, the rep talked to the customer — and that's it. No task, no call scheduled. A month later the deal quietly dies.

How to bring all channels into Bitrix24

The goal is simple: every inquiry from any channel automatically becomes a lead or deal in Bitrix24, with an owner and a response deadline.

Website forms

Forms should send data straight to the CRM, not to an inbox. Bitrix24 CRM forms work for this, or an API integration if you have your own form. Pass the source along too (UTM tags, landing page) so you can see which ads actually bring sales.

Phone calls and missed calls

A missed call is the most expensive loss: that person was ready to buy. IP telephony connected to the CRM solves several problems at once:

  • every call is logged in the customer record with a recording;
  • a missed call automatically creates a lead and a "call back" task;
  • the notification goes to the responsible rep, not to a "general chat".

Telegram, WhatsApp, Viber

Messengers connect to Bitrix24 Open Channels (Open Lines). The customer's message arrives in the CRM, the rep replies from Bitrix24, and the reply goes back to the messenger. The conversation history stays with the company, even if an employee leaves.

Marketplaces

Orders and buyer messages from marketplaces can be pulled via API and turned into deals. That's a custom integration, but with a meaningful order volume it pays for itself quickly.

A first-response SLA

Once every channel lands in one place, set a first-response time standard and enforce it in Bitrix24 with automation rules and triggers.

Adjust the numbers to your business. What matters is that they're written down and checked automatically, not at a weekly meeting.

Duplicates and deals with no next step

Duplicates. Set up matching by phone number. The most reliable approach is to compare the last 8–9 digits, so that international and local formats of the same number (with or without country code) count as one customer. A new inquiry from an existing customer should go to their existing rep.

Deals with no next step. A simple rule: every active deal must have a scheduled activity — a call, a meeting, a task. Once a day the system builds a list of deals and leads with no activity and sends it to the manager, broken down by rep.

Checklist: are you losing leads?

  • All website forms create leads in the CRM, not emails
  • Calls go through IP telephony connected to the CRM
  • A missed call automatically creates a task
  • Messengers are connected to Bitrix24, not living on personal phones
  • Marketplace orders land in the CRM
  • Every lead has an owner
  • A first-response standard is written down and monitored
  • Duplicates are detected automatically
  • The manager sees deals with no next step every day

If you ticked fewer than 6 boxes, you're almost certainly losing leads.

What it looks like in practice

Messengers in Open Channels. I built a Bitrix24 app that connects WhatsApp, Viber and Telegram numbers to Open Channels: incoming messages go into the CRM, replies go back, with bulk messaging, delivery statuses and conversation history. More in the Bitrix24 omnichannel case.

Auditing "forgotten" deals. For a renovation and construction company I built a CRM audit app. It flagged 217 of 711 deals and 178 of 327 leads with no next step, surfaced groups of duplicates and showed a per-rep breakdown. Missed calls. At an agricultural company the CRM was Vtiger, but the principle is the same: Asterisk/FreePBX monitoring sends missed and completed calls to a Telegram group mapped to the responsible reps. See the agro CRM and telephony case.

When you don't need this

To be honest, not every company needs custom work.

  • If you get 30–50 inquiries a month and have one or two reps, start with Bitrix24's built-in tools — CRM forms and ready-made connectors. That's often enough.
  • If your team doesn't use the CRM, no integration will help. Agree on the working rules first, then automate.
  • If a channel brings in only the occasional lead, a dedicated integration for it won't pay off.

What it costs

  • Bitrix24 implementation and setup — from $300;
  • IP telephony on Asterisk/FreePBX integrated with the CRM — from $200;
  • integration with a marketplace or your own form via API — from $250;
  • a single task, such as a report on deals with no activity — from $150.

If, as in the example above, a company loses thousands of dollars a month, this kind of setup usually pays for itself within the first few months.
